Care Station LLC ("Care Station," "we," "us," or "our") provides software that helps organizations manage inbound communications and related operational workflows. This Privacy Policy explains what information we collect through carestation.app, our hosted application, and related communication features; how we use that information; and the limits we place on sharing it.

Information We Collect

We may collect the following categories of information:

  • Contact and account information, such as name, email address, organization name, role, login credentials, and information submitted through our contact form.
  • Customer service and operational content submitted to or processed by Care Station, which may include messages, task notes, attachments, routing information, and staff actions.
  • Communications data, including phone numbers, SMS or messaging opt-in status, message content, timestamps, delivery status, and related metadata when messaging channels are used.
  • Technical and usage information, such as IP address, browser or device information, log data, authentication events, feature usage, and security audit records.
  • Configuration and integration information needed to connect customer-approved systems, channels, and vendor services.

How We Use Information

We use information only for business and service purposes, including to:

  • Provide, operate, secure, monitor, and improve Care Station.
  • Authenticate users, manage access, and enforce customer-configured permissions.
  • Route, classify, organize, and track operational communications for our customers.
  • Send service-related messages, alerts, support responses, and account communications.
  • Detect abuse, troubleshoot issues, maintain audit logs, and meet legal or contractual obligations.
  • Respond to inquiries submitted through carestation.app.

SMS and Messaging Data

If you provide a phone number or communicate through SMS or another messaging channel, we use that information to deliver and manage the requested communication or service workflow.

We do not sell, rent, or share SMS opt-in data, phone numbers, message content, or messaging consent records with third parties or affiliates for marketing or promotional purposes. Mobile opt-in information and consent are used only to provide the requested messaging service, maintain records, support delivery, and comply with applicable law and carrier requirements.

How We Share Information

We do not sell personal information. We do not share personal information with third parties for their own marketing or promotional purposes.

We may disclose information only in limited circumstances:

  • To service providers and infrastructure vendors that help us operate Care Station, such as hosting, authentication, storage, messaging delivery, security, logging, support, and similar operational services. These providers may use information only to perform services for us or our customers.
  • To the customer organization that controls the workspace or communication workflow, including its authorized users and approved integrations.
  • When required by law, legal process, regulation, court order, or a valid government request.
  • To protect the rights, safety, security, or integrity of Care Station, our customers, or others.
  • In connection with a business transaction, such as a merger, acquisition, financing, or sale of assets, subject to appropriate protections for the information involved.

Marketing

We do not use customer operational content, SMS opt-in records, phone numbers, or message content for third-party marketing. If we send any Care Station marketing communication, it will be based on direct business contact information and you may opt out of those communications.

Customer-Controlled Data

Many records processed by Care Station are controlled by the customer organization that uses the service. That customer determines what information is submitted, who may access it, and how long it should be retained, subject to our agreement with that customer and applicable law.

Security and Retention

We use administrative, technical, and organizational safeguards designed to protect information from unauthorized access, disclosure, alteration, or destruction. No system can be guaranteed to be completely secure.

We retain information for as long as needed to provide the service, maintain security and audit records, comply with legal or contractual obligations, resolve disputes, and support customer-approved retention settings.

Your Choices

You may contact us to request access, correction, deletion, or other assistance with information we control. If your information was submitted by or through a Care Station customer, we may direct your request to that customer because the customer controls the workspace data.

You may also opt out of SMS communications by replying STOP where supported, or by contacting the organization that sent or manages the message.

Changes to This Policy

We may update this Privacy Policy from time to time. The "Last updated" date above shows when this policy was most recently revised.
